Office Administrator

Our young company is growing! We are looking for an Office Administrator who speaks Dutch, English and Russian. Who can take ownership of our Office tasks, and support team with some administrative tasks.


  • You will have ownership for all Facilities and Office Management in our office
  • During working from home, you support the team by making sure they have what is need in their home offices. Manage invoices and procurement process and make an interaction with the accounting department regarding the provision of documentation
  • During working from office, you answer incoming calls. Manage administrative & logistic tasks for team: dispatch of the mail, support the team in business trips, the team activities and events
  • You are responsible for the proper management of the premises, their maintenance and the supervision of all Facilities & Office Management services and all subcontracting contractors
  • You carry out all financial monitoring and orders related to your activity. You receive invoices, you get approval and send them to payment through our internal tool. You manage the internal procurement process, and support the team with this. You translate documents into Russian/English/Dutch. You manage a complete document flow: signing, sending, archiving contracts; preparation of documents by order of the head; confirmation of applications; receiving and sending correspondence
  • You support the team when needed with administrative tasks
  • You are responsible for the safety and risk prevention of our employees.


  • Min 2 years of experience in administrative management and/or office management, or other relevant experience
  • Relevant education at minimum Bachelor level
  • PC-advanced user. Excellent knowledge: Word and Excel
  • Excellent communication (verbally and in writing) skills in Dutch, English and Russian
  • Ready to work in multitasking mode. Experience collaborating cross-functionally and building consensus among multiple stakeholders in an entrepreneurial, fast paced environment
  • Personal qualities: attentiveness, accuracy, punctuality, rigorous and organised. Resourceful, action and detail-oriented, with high ownership mindset to deliver and find solutions
  • Applicants must be nationals of a European member state or have a valid work permit for the European Union.

Logistics Manager

Our young company is growing rapidly, which makes it a very exciting and rewarding time to join Smartcontainer B.V.! The Logistics Manager position is a dynamic and important role inside of our time. We are looking for the successful candidate, who has strong operational knowledge in logistics & multimodal freight forwarding, fluently speaks English and Russian.


  • Overseeing daily operations, calculation of container freight rates for internal and external clients of the company; conducting contractual work with suppliers and customers
  • Full operational support of multimodal transportation via international sea ports, as well as land border crossings in Europe (control of the provision of rolling stock, containers, placement of bookings in sea lines, control of the release of documentation)
  • Performs other related duties as assigned: invoicing; control of accounts receivable; selection of documents confirming the VAT rate-0%; conducting business correspondence; reporting


  • Bachelors degree in Business Administration, Logistics, or related field required
  • Two or one years of experience in multimodal transportation and logistics services of the international delivery of container cargo (priority for applicants with experience in sea lines, in large forwarding companies)
  • Excellent verbal and written communication skills by English and Russian, Dutch is an advantage
  • Strong supervisory and leadership skills: the ability to independently find and calculate the optimal transportation scheme, using all possible transport solutions, is required
  • Excellent organisational skills and attention to deal with the proven ability to manage and coordinate a variety of shipments and shipping methods: understanding the business of container multimodal international transportation (sea, railway, auto)
  • Strong knowledge of the geography of container lines, the ability to create bookings
  • Strong knowledge of marine terms and abbreviations (Incoterms 2020/ 2021); condition for granting a VAT tax benefit-0%; ability to work in a program based on 1C, proficient with Microsoft Office or related software
  • Excellent time management skills with the proven ability to meet deadlines
  • Strong analytical and problem-solving skills
